Groups

The group page allows to define groups of users (that have an assigned Client Access License) for regrouping users.

Access to protected resources such as Modeling Places, Execution Environments, Data Stores and Identities can be granted to groups instead of individual users.

Task assignment for workflow and case modeling can also leverage groups to assign tasks to a group instead of an individual performer.

Managing protected resources using groups simplify access management.

It is possible to create a New Group using the button in the top right of the page.

Groups have an optional email address. That address can be used to communicate with the group for task assignment in the email notification channel instead of using the email address of the individual members.

Each group can be deleted ( ), renamed ( ) or modified ( ).

Renaming a group does not affect its current usage.

A group can contain users or other groups.

When adding users/groups to a group, it is possible to send an email informing the users of their new group. That email can be disabled by unchecking the Send invite email box.

Licensing Groups

Product seats can be assigned to group members using the Products column. The number there indicates the number of seat licenses that this group grants to its members.

When a member joins the group, if enough seats are available, he receives a seat license for each of the products that are checked. When a member leaves the group, he loses the seat license granted by this group (unless another group he is a member also grant that license).

License allocation and revocation occurs when the user join or leave a group. It is still possible to assign or unassign licenses from the Client Access License page even when they are provided from a group membership.
If a member joins a group and no seats are available for a product, the member will still join the group but will not receive the licenses. The administrator will need to free up licenses and remove than add the user again or correct the situation from the Client Access License page.
